Independent Legal Tech Advisory

About Songbird Strategies

Songbird Strategies helps small law firms fix intake operations, implement legal technology that actually gets used, and build the internal processes that make software stick. We take engagements from diagnosis through working deployment, not just the recommendation.

How We Work

Four Phases. One Standard: It Has to Work.

01

Discovery

We start by understanding your actual situation: your current tools, your intake process, your client-response workflows, your staff, and where the gaps are. No assumptions, no generic templates. For law firms, this is the free Intake Audit.

02

Strategy

Based on what we find, we build a specific recommendation: platforms, workflow changes, automation opportunities, and a prioritized implementation order. You get a written deliverable, not a verbal suggestion.

03

Implementation

We do the implementation work with your team, not just alongside it. Configuration, workflow setup, data migration, staff training, and the hard part: making sure people actually use the system after it's live.

04

Optimization

Once the system is live, we monitor, tune, and adjust as your firm grows and your tools evolve. Engagements don't end at deployment. They end when the metrics show the work is holding.

Why Songbird Exists

Law firms are not short of software options. They are short of independent guidance. The legal tech market is crowded with tools built by developers who have never run a law firm, sold by salespeople whose job ends at the signature. The gap between "we bought Clio" and "our intake actually works now" is where most firms get stuck, and where most vendors disappear.

Software implementations fail not because of the software, but because of fit, workflow design, and whether the staff actually adopt it. Confidentiality requirements, practice-specific intake patterns, and the reality that most small firms have no internal ops capacity to manage a rollout: these are the conditions under which most legal tech implementations get stuck. Songbird was built to address that bottleneck directly.

We are not a software vendor. We are not a staffing agency. We evaluate your situation, recommend what fits, and stay through implementation until the system works.

Who We Work With

Songbird Is Built for Firms That Need Implementation, Not Just Advice

Solo and small law firms losing prospective clients to intake gaps, slow follow-up, or tools they never got working

Growing firms with a stack that doesn't talk to itself: multiple tools, manual handoffs, and no clear owner for intake operations

Firms being actively pitched by legal tech vendors who want an independent second opinion before signing

PI, family law, and litigation practices with high inbound volume that need 24/7 intake coverage and structured follow-up

Firms adding AI-assisted tools that need independent evaluation of fit, data-handling, and whether the implementation will actually hold

What This Work Looks Like

What Engagements Can Include

Intake Process Audit and Redesign

Review of how inquiries arrive, how they're handled, where leads fall through, and what changes would close the gaps, including staff workflow changes, not just software.

Platform Selection and Configuration

Independent evaluation of legal tech platforms against your firm's actual requirements. Selection work includes shortlisting, demos, contract review, and a written fit recommendation before you commit.

Workflow and Handoff Design

Documentation and redesign of how work moves through your firm: from inquiry to engagement, from intake staff to attorney, from one platform to another. Includes the operational detail that determines whether systems get adopted.

Vendor Coordination and Implementation Management

Managing the operational complexity when implementations involve multiple vendors, platforms, or workstreams at once. The firm has one point of coordination, not five separate vendor relationships to manage.

Operational Documentation and Launch Support

Building the internal materials that make systems hold after deployment: SOPs, staff training, process guides, and the monitoring frameworks that catch adoption problems early.

Custom Tooling

Where off-the-shelf platforms aren't the right answer, Songbird builds purpose-built tools alongside existing platforms: automations, intake systems, client-facing forms, and internal workflow tooling scoped to the firm's actual needs.

Engagements are staffed based on scope, practice area, and the specific work involved. Specialists from Songbird's network are brought in where the engagement requires it.

On Commercial Relationships

How Our Recommendations Stay Independent

Some of the platforms we work with carry referral or affiliate relationships, and if you sign up through a Songbird link, we may receive a fee. Some platforms we evaluate and recommend carry no commercial relationship at all. Filevine is a current example: we implement it, we have no referral arrangement with them, and we recommend it where it fits.

We are transparent about this because quietly steering recommendations toward higher-commission options is exactly the kind of behavior that makes law firms distrust consultants. Fit comes first. Every commercial relationship on this site is disclosed explicitly on the relevant platform page and on our full disclosure page.

If you want to understand every relationship before engaging, the disclosure page is the right place to start.
